Transcript for "Illuminating the future of Higher Education with Workday Student":
Prior to Workday, my registration experience was very, very stressful. We would be sitting around our computers waiting anxiously for our time slot to open. And then once it did open, we would all be rushing to get into classes. Within Workday, we would be able to plan our schedules out way in advance, so we would be able to schedule social activities and make sure we were available for each other. The safe schedule function was something we all love, especially myself since I try to plan out months in advance what my schedule will look like due to work. We would save our schedules, of course. And then once we were ready to register, our button would light up. Also, adding and dropping courses was even easier now. You wouldn't have to go through with all of the physical paperwork. You would just be able to add a course or drop a course directly from Workday. Welcome to the student stream of Workday Elevate. Workday Elevate 2025 is all about Workday student for us here in this stream. I started at Workday eleven years ago. We ran our first Workday Elevate, I think, in 2015 and the whole conference was about this room. And so to sell out our very first student stream, it's a huge achievement and I can't wait to tell marketing to give us a bigger room next year. We could have chosen dozens of different videos to kick off today's proceedings, but we really wanted to focus on the student experience. There are 1,500,000 students across Australia and New Zealand, even more in fact. And every single one of them is using a student system that was developed before the iPhone was invented. These student systems are older than most of the students using them. For For the next few hours here in the student stream, we're going to spend a little bit time little bit of time talking about Workday Student and what a difference it will make to the student experience. My name is Cade Elg and I'm Workday's leader for higher education in ANZ, And I'm joined by Kate Russell from Boston, Massachusetts. Why don't you introduce yourself, Kate? Hey, everyone. I'm Kate Russell. I lead our industry strategy teams at Workday, so I work on the product and techno technology organization. And I have been partnering very closely with the team down here, to bring the Workday student product to our customers in Australia and New Zealand. So I could not be more excited that we've got our very own student session to be able to give you a lot more information about what this product is about. Nothing says excitement quite like a product statement to kick things off. So why don't you take that? Yeah. I'm gonna take this. So, actually, almost everything you say will be live functionality in the product today, but I am gonna do some very cool forward looking, AI things at the very end of the session. So this is our product statement to always purchase based on what you see in the product today. Thank you. Always better than the sales guy doing that. Yeah. Exactly. Alright. So we're gonna start from the very highest level, the 30,000 foot view. What are we hearing from the sector? What were the conditions that made us think it's time to bring Workday Student to ANZ? We'll give an update of course on what's happening with Workday Student, both in North America and our plans here in region. And then we'll start to take a look at what is Workday Student, both in the context of existing on a single platform with finance and HR, but also in the unique capabilities that Workday has been able to develop, thanks to the technology we use. Most importantly, our friend Linda Lam will be coming up on stage shortly to demonstrate the product, so you can see it live, real and in action. And we're also joined all the way from Arkansas, Stephen Fulkerson, who's the VP and CIO at the University of Arkansas system, who just went live at 14 institutions, 70,000 students and 30,000 staff. And he's here to talk about that journey in terms of starting with HR and finance and then rolling out Workday student to those 70,000 staff as well. And we're gonna zoom all the way in right down into your pockets, into your smart devices, and we're going to give you access to Workday student. You're getting credentials, and you'll be able to use the product guided by Linda Lamb and have the same experience as what one of your students would have on campus as well. So let's kick things off. What's happening in higher education here in Australia and New Zealand? There are now 13 institutions using Workday as their core system of record for finance or HR or in many cases now, both finance and HR. That's in the North And South Island Of New Zealand and in every state of Mainland Australia as well. So we're starting to get a really good understanding of what's taking place in this sector. And when we talk to people like yourselves, I think the long tail of COVID is still being felt like in many sectors across the country. But especially in higher education, in a business model that has long been predicated on the idea of physical presence on campus, that idea of shifting to a digital and physical experience, much in the same way as what we're experiencing in the corporate sector, but I think playing out real large in the higher education space as well. And of course, the financial implications of universities that were so battered, I suppose, from the pandemic as well continues to linger in making investment decisions too. Universities in an uncertain time, both legislatively and also in market conditions are trying to find the right sustainable mix of domestic and international students, accounting for the economic needs of the institution and I think the societal needs of Australia and New Zealand as well. There's financial pressures and an increased desire, I think to partner with industry. There's been the effect of the Trump administration and its DEI policies affecting research grants as well and how that's playing out as far fetches in places like Australia and New Zealand. And of course, the cost of living process morphed into a housing affordability discussion, which morphed into an immigration discussion, which has landed in a debate and potential legislation around international student caps as well. All the while the government considers the future of higher education in this country through the heart the accord. And finally, I think, we can sometimes gloss over this because we're so used to talking about AI in the technology landscape, but I also think it's not too controversial a statement to say that AI represents potentially the biggest opportunity for the sector in taking the lead, both ethically, but also in terms of research and training the skills we need for artificial intelligence, but also a massive challenge for institutions that are trying to accredit in an environment where computers are doing a lot of heavy lifting now for both workers in our sector, but also students in your universities too. So Kate, we're having these conversations here locally, but back at the Rancho head office, you're also surveying, customers both locally and abroad. Yeah. Yeah. So we just completed a global survey of our customers both in The US, Canada, and as well as Australia and New Zealand. And I think what's really interesting about it is while we all have geographic specific challenges that we're facing just like Kate just talked about here, certainly, we have our fair share of those in The US as well. But when you zoom out, what we heard from leaders in this research study is that you also have a lot of shared challenges as well. So the rising operational costs sort of competing against tight budgets or declining budgets, was something that we heard from just about everyone that we spoke to. Also, the concern around the student experience. So I think that many institutions who I talked to were already feeling behind on what I talk about as student consumer expectations. So when students, can do anything and AI can just about read their mind when they're trying to do it. And I think even before that, many higher education institutions were feeling behind the curve, and now you're feeling that more acutely. And at the same time, that is competing with some of the challenges Kate just mentioned around changing student demographics as well as legislation that impacts the enrollment process. Thanks, Kate. The good news is you've all got systems that are easy to change and super agile. Right? Not quite. Actually, our friends at Deloitte, ran a survey and found that 50% of business leaders, are saying that their current systems do lack the agility to change. So we're living in an environment that I I touched on earlier around the lingering macro effects from COVID, and the challenges of international and domestic students coming and going, and the rise of AI and Kate shared some of the results of our survey, and yet the systems we're relying on day to day are rigid and difficult to change. Adding insult to injury is that we have to throw good money after bad at them as well in an environment where the skills that are available to support these aging legacy systems are dwindling as well. And so Gartner ran a survey and they said that 84% of organizations are reporting technical debt as a significant issue in an environment where students who have been, growing up frankly with smartphones in their hand, the TikTok generation, arriving on campus with systems that are older than them, and you're having to throw good money after bad, at systems that they need to use day in day out that aren't delivering on their expectations as well. And many of these students are making decisions about whether to stay at your institution based on their experience they're having through their digital in their hands and their phones and their laptops. All the while we're seeing sometimes through our own goals at a government level in terms of legislation, other times through the rise of our higher education in our region in Asia Pacific as well, There's ever more competition from traditional competitors in higher education, our friends in North America, Europe and increasingly through Asia as well. So Kate, we've painted a bit of a picture that's not always so rosy. Right. But the good news is Workday is here to help, right? That's right. Yes, yes. Now we do fundamentally believe that while these are challenges that technology has the power to start to transform that for the better and that actually these are really opportunities to bring higher education into the future. And so that's what we're doing day in and day out at the product organization at Workday, and that's why we built the product suite for higher education that we're gonna talk to you about today. Our goal was the same as what the research is telling us and what my customer conversations say your goal is too, which is to help you simplify the technology ecosystem that oftentimes has been brought up here, there, and everywhere in places all across campus to start to bring that and consolidate that into a single source of truth that that gives you those additional insights to help you make better decisions more quickly so that you can respond to the pace of change that we're seeing today and to address those user experiences that we're talking about. So not just with your faculty and your staff and your administrators, but most importantly, at least from my perspective, with your students and meeting their expectations and not creating technology barriers for their experience on campus. And then across the foundation of that, building with an architecture that's designed to be flexible for whatever the next set of challenges that we might read off next year are that you're ready to be able to respond to them. Yes, exactly. And I think it's one thing for us to paint a picture for what is a challenging macro environment, shifting demographics, familiar faces in the crowd, but also some people we're meeting here for the first time. So we thought we'd we'd spend just a couple of minutes explaining where we've come from and why we think we're in a good position to be able to help as well. We're going to go back. Workday is a twenty year old company. So Workday student didn't just appear out of thin air here in Australia and New Zealand in 2024 and 2025. In fact, the story for Workday starts before this slide even begins in 2004 when Oracle completed a hostile takeover of PeopleSoft. The founder of PeopleSoft is a man by the name of Dave Duffield, and he decided, in 2005 along with, another man called Anil Bushiri to do it all over again. They were going to start a brand new HR, finance, and student company, but but they were going to take advantage of all of the technology that existed in the twenty first century that didn't exist in 1987 when Dave founded PeopleSoft. So principally, the first thing they decided to do starting from this clean sheet of paper to reimagine the possibilities for finance, HR and student was that this would all be in the cloud. And that feels like a very uncontroversial statement to stand up in 2025 and to say that, but it was extremely bold in 02/2005. Not only would it be in the cloud, no matter what, no matter which customer came to us and said they needed this functionality and they needed it now, customers cannot customize Workday. You can't change the code of Workday, which was a huge deviation from what ERP had been doing for close to three decades. And more than that, we build this core system of record, HR, payroll, finance and student and it would be a shared architecture, shared platform and all of that capability would be built atop. And so in 02/2006, HCM was launched, payroll followed shortly thereafter. In 02/2008, we launched Workday Finance, what some of you would refer to as ERP and some customers started to get on board as a bit of a trickle. Putting your people and your money in the cloud, was a big decision for organizations to make. But I think perhaps surprisingly on one hand, but not so surprisingly on the other, the higher education sector which had been putting its trust in Dave and PeopleSoft since the 80s were one of the first sectors to really jump on board with Workday and that began in the year 2010 when Georgetown University became our first ever customer in higher education. So we start working with the sector in this new product that can't be customized, but it doesn't mean that we can't partner with our customers and start innovating on that platform to make sure we give those institutions what they need. And so by 2013, Rochester, Yale, and the University of Texas had come on board, and we started partnering with these organizations to ensure we delivered what they needed that was unique to the sector for both HR and finance. And in 2013, Dave Duffield got on stage at Workday Rising and announced that we were going to build Workday Student to much fanfare. Three years of R and D on top of that existing robust stable platform that was already supporting thousands of customers for HR and finance, Workday Student became generally available. Meanwhile, and here in ANZ, my colleagues and I were getting busy with the higher education sector. Deakin University became our first customer on Workday Financials in 2018. Swinburne became HCM customer number one. Flinders was customer number three shortly after. And then RMIT became our first ever finance and HR customer together in 2019. So we're getting a bit of experience globally working with higher education, getting some more experience down in Australia and New Zealand, working with the sector for HR and finance. And in 2019, we had our first ever Workday student customer go live at Wellesley. We're gonna fast forward through this history lesson now to what is probably the most love the history lesson. Pivotal pivotal year, in our terms of launching Workday student and what we're able to achieve in North America. Why don't you pick it up from here, Katie? Yeah. Exactly. So back at the ranch, as Kate was saying, fast forward to last year this time, 2024, Workday reached over 500 higher education customers. Just a fantastic milestone in terms of global reach for the industry. And then at the same time, we, had over a 140 Workday student customers, 65 of whom, last year this time, were live on Workday student. And there were a lot of momentous things about last year from a a growth perspective. One of which that was particularly remarkable and maybe one of the most exciting go lives that we had was with the University of British Columbia. And And the University of British Columbia was our first non US customer to go live on Workday Student. At this point, they've been live on Workday Student for just over a year now. And as you can see, University of British Columbia, is a large institution, over 70,000 students. They're a heavily decentralized institution. They have over 10,000 employees, very high research activity, and they were our first adopter there, in Canada. They also were our first public cloud customer as well. And if we then sort of step forward one more year to where we are today, I will revise my prior statement about the most exciting thing in 2024 because at the very end of the year in December, we announced that Workday student is generally available now in Australia and New Zealand, and that's how we round it out 2024. And then if we fast forward then to today, those numbers have gone up. So, today, spring, fall twenty twenty five, we Autumn. Autumn. Autumn. Third time's the charm in autumn. But we now have over a 190 institutions on who have signed up with Workday Student, and over 85 of them are live on the Workday Student product. Yeah. And I think it's incredible to think you and I are on stage in Melbourne in December with Doctor. Joanne Fox from the University of British Columbia and we couldn't have been more proud to talk about 140 student customers with more than 60 live. And so to think in, you know, five short months that those numbers have skyrocketed so much speaks so much for the maturity of the product and the depth of capability that exists across Workday and our ecosystem now to do this at scale. Yeah. That's exactly right. And, you know, because I it's the end strategy, I'll just add to that that that hockey stick growth of customers is a testament to the fact that this product is mainstream market in North America. Right? We have so many institutions from so many different segments of all sizes that are operating at scale, and we're just moving so quickly that even I can't seem to keep up with the numbers on my slides when we do these updates. So, Kate, you know, you you and I are excited. Clearly, it's all happening in North America. I think everyone in this room starting to get a feel for what we're building with Workday Student. But it's not just us that are taking notice. There are analysts that are starting to see what's going on too. That's right. That's right. Objective third parties are also saying similar things, which is always good to hear. And so Gartner actually, this year, for the first time in North America, did a, student information system magic quadrant. And Workday Student was named a leader in that, which, ultimately sort of rounded out an additional leg of leadership for Workday because we are now a leader for ERP, planning, HCM, and student, and we're the only vendor that is a leader in all four of those segments. Yeah. And not only that, I think it's worth, also stating that in terms of the student magic quadrant and the leaders, Workday is the only one that's born in the cloud. And so all of the advantages that exist for us in terms of building and innovating on this product, but most importantly for our customers, being able to take advantage of that cloud native capability of Workday Student. But I think and as you'll see throughout today, the most important element of Workday Student and Gartner's recognition of our capability is that ERP, HCM and Student are all on that single platform. And we are the only vendor that exists in those three spaces that's doing it on one piece of technology and not multiple. And as we continue to build and develop product, the thing that I enjoy the most and the reason I don't mind flying twenty two hours to meet our customers down here is because that's how we develop product and how we make good decisions and we innovate, which is through customer collaboration. So at any given time, our product teams are running upwards of 10, what we call, design partner groups, where our product team, our product managers are building, designing, testing ideas with functional experts at our customer institutions, getting feedback, and making changes before they ultimately deliver those enhancements. We also run a number of advisory councils, some of which we'll talk about in just a second. Workday student delivers, I hate to brag in front of everyone else here in finance and HCM, but we tend to deliver the highest number of brainstorms or customer voted enhancements to the product. So we've delivered over a 125 over the last two years directly from customer feedback. And our higher ed customers, you know, I I work in industry strategy with a lot of different industries, but higher education in a room of friends is my favorite. And for good reason, because you all love to share with each other. And that makes an exponential difference when you're all on the same Workday product. Right? Because something that your peer institution is doing that you're really interested in and that they're willing to share with you about, you can then do it too. And that happens all the time in North America. And as the customer base grows, that happens at scale. And it's really, really fun to see the collaboration and the innovative ideas that come directly from just customer sharing with each other. Yes. And we see the same thing in ANZ. We've got a higher education user group and we've seen the success of the partnership that they were having in North America. And despite all of the experience we had delivering Workday in all those institutions, we knew that we couldn't come to ANZ and not get the voice of the customer as part of this process as well. And so through our collaboration as we developed and finalized our plans to bring Workday student to ANZ, We worked with four amazing customers, the first of which is the University of Melbourne who incredibly are going live on Workday finance and HR looking at you, Sofia. I can't believe you're actually here. Thank you. Yeah. Yeah. Congratulations. Amazing. Going live, I think, in the next couple of weeks, we're in the process of cutting over right now. Amidst all of that, attending Elevate today, attending the advisory council that we're holding in Melbourne next week, I think it really does speak to the culture of the sector, both generally, but also amongst the Workday customer base. University of Auckland is our representative from New Zealand. New Zealand is absolutely a major part of what we're doing here as well. RMIT is a big dual sector international institution, longtime partner and been live on finance and HR for a very long time. And finally Macquarie University as well, who have some hospitals and some complexities that we wanted to work with to ensure we were doing everything right as we brought Workday Student here as well. So Kate, maybe give us a sense for what you talk about with the advisory council and what that looks like. Yeah. Exactly. So we wanted to assemble this group to have sort of a a think tank, if you will, as we continue to invest in the product, grow the product, understand, geographic nuances and needs. And so that's what the advisory council is all about. It's also about having those higher level conversations, not just about what your student management system does today and what those pain points might be, but thinking collaboratively together about the next five to ten years. Right? So really helping us, and innovating with us because we are not trying to build a product that, works for yesterday. We're trying to work with you proactively to ensure that we've built for the next generation as well. So we see this group as really strategic to us, not just for the local context and those investments, but also bigger picture. And so we've got workdays experience. We're getting the input from our customers. But very importantly, we're also tapping into our very well established ecosystem as we build out the capabilities we need, but also to be able to deliver this when that first project starts as well. So a special call out to Deloitte, Accenture, Cognizant, and KPMG for the huge investment those organizations have made in helping us prepare to deliver Workday student here as well. And importantly for all the universities in the room here today, each of these organizations has implemented Workday multiple times, at least two times in universities across Australia and New Zealand, and they also have global student capabilities that they're able to tap into as we launch the student product here. And also they have extensive higher education capabilities and practices to be able to tap into because we do appreciate that these aren't just technical or system implementations. There is a lot more that goes into this, and we will need our partners to support and deliver on that too. I'll also add that it's not just, you know, building up practices and resources to deliver these projects. There's more investment in software partnerships that are taking place as well. Yeah. That's exactly right. And I guess just to take a quick step back on that, I all I like to talk about, and we talk to our analysts, and hopefully, you've heard this before, this idea of three x innovation. Right? So we make investments, and we build on our core product. Our customers can build on our core product, and our partners can as well. So I really can't speak highly enough of our implementation partners who've been fantastic, you know, collaborators with us so far already in terms of thinking about how they build on top of our platform, working with our product team. And then in addition to that, we have, several really exciting relationships with additional technology vendors, some of whom have global practices, some of whom focus here, on the Australia and New Zealand markets. So TouchNet, Flywire, Global IT Factory, StudyLink, Zetta, and Relish are some of our, partners who we're collaborating with in region. All of them have a design approved badge as part of our partner program, and we've had a great relationship with them so far. Yes. Thank you, Kate. So we've been zooming in continually, and now it's time to start looking at, where does student fit into the broader landscape with Workday? We spoke about the very deliberate path we've taken over twenty years to build our capability on top of this single platform and single architecture. So what does that really mean and why does it matter? So with Workday, customers that are using student, finance and HR have the mythical single source of truth. That doesn't matter whether you're a member of staff who has a single position, multiple positions, multiple positions and working on research projects, multiple positions working on research projects, and also a student, you exist once inside of Workday. And that is a technical feat that really can only be accomplished when you start with that clean sheet of paper and build on top of that single platform, that one architecture, and that one data model. Underpinning all of that architecture is a single business process framework. So when you're a student, but also a member of staff who's also working on projects, it doesn't matter whether you're submitting a time sheet for a tutorial or for some research you've been conducting, putting an expense report in, registering for a course, that's all being underpinned by that single business process framework that many of you will be familiar with already from your workday implementations for finance and HR. Because we know who you are in terms of whether you're a member of staff or a student or both, whether you're within one faculty or another or both, or whether you're on a different campus, we can have very fine grained security. And when you take that level of security with that level of knowledge about an individual and you put it into a single user experience, whether that's on your iPhone, your Android, or your MacBook, then you're having a very curated tailored experience that does drive students and staff to do their transactions within their device. And because all of those transactions, all of that data is living in a single place and not having to be shipped off or integrated into data warehouses and BI tools. All of a sudden, institutions have a collection of data to make better decisions in uncertain environments to help create a sustainable business model that will thrive in through the next period beyond 2025. Kate, maybe tell us a bit more about how that looks in real life. Yeah. Yeah. So the reason that, you know, some might say we took our time building these products is because we wanted to do it right, and we wanted to do it with customer value as the outcome. And that's really what all 85 plus of those customers who are live on Workday student are now seeing. They are all live on HCM, finance, and student. And what they're able to do is everything that Cade was just talking about, which is to be able to, operate on top of the immense amount of r and d that Workday puts into the core of our platform and then leverage those common tools, common architecture, for unique higher education needs. And that's really one of the, most significant buying behaviors that we see from customers, which is that they are looking for that unified solution. That's the big vision. That's the transformative vision. You get value out of HR with your people. You get value out of finance with your you know, from a money perspective. But when you add the student layer, the student experience, the academics piece, for higher education, that's really where you start to see that exponential transformation. And so it looked at where Workday Student fits in the broader Workday platform. Maybe just tell us a bit more about what Student actually does. Yes. Well, I know everyone actually just wants to hear from Linda who's gonna show you the product. So we're about to exit stage right. But before we do, this is our attempt at trying on one slide to give you the super bird's eye view of how this all comes together, everything Kate and I were just talking about. So as students enroll at your institution, as we talked about, they're a single person, no matter if they're looking for a job on campus, they have one, they're getting paid, they're looking for their courses, they're they're having that same user experience in a single place. They can do it on their mobile device. They have self-service options. You have all of that core academic record pieces of the student profile and registration, saved schedules, student financials, everything, related to charges and billing and refunds. And then built into the core of Workday as well are native engagement tools so that you can set up engagement plans to go out to students at a certain time so that it happens automatically. You can leverage SMS text, journeys for students you'll hear about in our customer session later. So all this built on that platform that we just talked about with AI at the core, which we'll get to a little bit later, and then also having that exponential value of our partners being able to build and innovate and solution on top of Workday for additional customer needs. Thank you. All of which is to say, we think that Workday Student, which Linda will now start demonstrating to you, can elevate the student experience through that single data core unlock insights to make better decisions and ultimately transform universities for what are uncertain times, but also full of opportunities.
